Terms and Conditions

These Terms and Conditions govern reservations, payments, cancellations, airport pickups, cross-border trips and transportation services arranged through BuffaloAirport.Taxi.

1. Agreement to These Terms

These Terms and Conditions (“Terms”) form an agreement between the person making or using a reservation (“customer,” “passenger,” “you” or “your”) and BuffaloAirport.Taxi (“Buffalo Airport Taxi,” “we,” “us” or “our”).

By submitting a reservation, approving a quote, making payment, entering a vehicle or using our transportation service, you agree to these Terms and any trip-specific terms shown in the booking confirmation.

A person booking for another traveler represents that the person has authority to make the reservation, provide the traveler’s information and communicate these Terms to the traveler.

2. Transportation Services

BuffaloAirport.Taxi arranges private transportation between Buffalo Niagara International Airport and confirmed destinations in Western New York, Niagara Region, Southern Ontario and other approved service areas.

Services may be performed using a standard sedan, passenger van or multiple vehicles. Vehicle assignment depends on availability, passenger count, luggage, equipment, destination and operational requirements.

Unless expressly confirmed in writing, we do not guarantee a particular vehicle make, model, year, color, trim, seating layout or driver.

3. Reservations and Confirmation

A. Required Information

You must provide accurate and complete information, including:

  • Passenger and booking-contact names.
  • Working travel-day telephone number and email address.
  • Correct date, pickup time and time zone.
  • Airline, flight number and scheduled arrival or departure.
  • Complete pickup and destination addresses.
  • Total adults, children and infants.
  • All checked bags, carry-ons and oversized items.
  • Child seats, pets, strollers, mobility equipment and special requests.
  • Requested stops, separate drop-offs or itinerary requirements.

B. Confirmation

Submission of a form does not necessarily guarantee service. A reservation is confirmed only after it is accepted and a confirmation or booking ID is issued.

Review the confirmation immediately. You are responsible for reporting incorrect dates, times, flights, addresses, passengers, luggage, contact details or pricing before travel.

C. Availability

Reservations remain subject to vehicle and driver availability. Service may be declined when the requested trip cannot be completed safely, lawfully or operationally.

4. Passenger and Luggage Capacity

Standard Sedan

A standard sedan accommodates up to four passengers and up to four standard bags when all passengers, restraints and items fit safely.

Passenger Van

A passenger van accommodates up to six passengers and up to five standard bags when everything fits safely. A van surcharge may apply.

Multiple Vehicles

More than four passengers may require a van. More than six passengers, more luggage than one van can safely carry, oversized equipment, several child seats or mobility devices may require two or more vehicles.

Stated capacities are maximum guidelines, not guarantees that every combination of passengers and luggage will fit. Safety and lawful operation take priority.

Undeclared passengers, bags or equipment may result in an additional vehicle charge, delay, refusal to transport an item, or cancellation of service when safe transportation is not possible.

5. Fares, Surcharges and Additional Charges

Published route fares generally apply per standard private vehicle for the stated route and standard allowance of up to four passengers and four standard bags, unless the applicable page or confirmation states otherwise.

Additional charges may include:

  • Passenger van: $20 surcharge per van when applicable.
  • Extra passengers: $10 per additional passenger when applicable and within lawful capacity.
  • Extra luggage: $10 per additional bag when applicable.
  • Pets: $10 per pet when accepted.
  • Child seats: the first requested child seat is included; each additional requested seat is $10.
  • Waiting: additional waiting charges as described below.
  • Additional stops: charges based on route, time and distance.
  • Multiple vehicles: the applicable fare and charges for each vehicle.
  • Route changes: additional fare for a different pickup, destination or itinerary.
  • Parking, tolls or extraordinary access costs: when specifically applicable and disclosed.

A fare quote is based on the information provided. Incorrect or incomplete information may result in a revised fare. Taxes, fees and charges required by law may be added where applicable.

6. Payment Terms

Payment may be accepted in the vehicle by cash or card, or through an approved online payment method, according to the reservation confirmation.

When online payment is approved, use the designated payment portal and enter the correct booking ID. A 4% online processing fee applies unless the payment request states otherwise.

You authorize us and our payment processor to charge the approved fare, processing fee and applicable additions. Payment-card processing may be subject to the processor’s separate terms and privacy policy.

You must promptly report duplicate, incorrect or unauthorized charges. Initiating a payment dispute or chargeback does not eliminate an obligation to pay for transportation validly provided. We may submit reservation, communication, dispatch, location and payment records in response to a disputed transaction.

7. Changes, Cancellations and Refunds

A. Changes

Free modification is generally available when requested at least 24 hours before pickup and when the revised trip remains available. Changes to the route, date, time, vehicle, passengers, luggage or stops may change the fare.

B. Cancellations

Free cancellation is generally available when completed at least 24 hours before the scheduled pickup, subject to the trip-specific confirmation.

Cancellations made within 24 hours, no-shows, or trips that cannot proceed because the customer supplied incorrect information or lacks required travel documents may be nonrefundable and may be charged up to the confirmed fare, to the extent permitted by law.

C. How to Cancel

Use the cancellation option in the confirmation email or the website cancellation form. The booking ID, reservation email and reason may be required.

D. Refund Timing

Approved refunds are returned through the original payment method when practical. Banks and payment processors control the time required for a refund to appear.

8. Airport Pickup, Flight Monitoring and Waiting Time

A. BUF Airport Meeting Area

The regular Buffalo Airport meeting area is on the arrivals level near Pole 13. Collect all luggage and gather all passengers before contacting the driver and proceeding toward the curb.

Airport authorities may change curbside rules or staging procedures. Follow the latest instructions provided in the confirmation or driver communication.

B. Flight Monitoring

Flight monitoring depends on receiving the correct airline and flight number. We are not responsible for missed coordination caused by an incorrect, changed or omitted flight number.

C. Airport Waiting

Up to 40 minutes of airport waiting time is generally included, beginning according to the confirmed pickup arrangement. Additional waiting may be charged at $30 per hour.

D. Passenger Readiness

Passengers must remain reachable and follow the pickup instructions. Failure to answer calls or messages, leaving the designated area, or prolonged failure to appear may be treated as a no-show.

9. Cross-Border Transportation

Each traveler is solely responsible for carrying all passports, identification, visas, permits, consent letters and other documents required for entry into the United States or Canada.

Government border officers have sole authority over admission, questioning, inspection, searches, declarations, detention and refusal of entry. BuffaloAirport.Taxi and its drivers do not provide immigration advice and cannot guarantee admission or processing time.

Up to 30 minutes of border waiting time is generally included. Additional border waiting may be charged at $30 per hour.

If a passenger is refused entry, detained, delayed or directed to return, additional waiting, route, vehicle or return transportation charges may apply.

Passengers must not carry illegal, prohibited, undeclared or restricted items. Passengers remain responsible for customs declarations and compliance with government instructions.

10. Children and Child Seats

Children and infants count toward vehicle passenger capacity. A child seat or booster must be requested before confirmation and should include the child’s age, approximate height and approximate weight.

The first requested child seat is included; each additional requested child seat is $10. Availability, brand, model, color and exact configuration are not guaranteed unless specifically confirmed.

The parent, guardian or responsible adult must review the seat, confirm that it is appropriate for the child, and ensure the child is properly secured before the vehicle moves.

Customers may bring their own child restraint. It must be disclosed because it may use passenger or luggage space.

11. Passenger Conduct and Prohibited Items

Passengers must:

  • Follow reasonable safety instructions from the driver.
  • Wear seatbelts when available and required.
  • Supervise children, pets and personal belongings.
  • Avoid threatening, abusive, discriminatory or disruptive conduct.
  • Not smoke, vape or use illegal substances in the vehicle.
  • Not damage, excessively soil or interfere with the safe operation of the vehicle.
  • Not transport illegal, hazardous or prohibited items.

Service may be refused or ended when conduct creates a safety, legal or operational risk. The customer may be responsible for reasonable cleaning, repair, damage or extraordinary delay costs caused by the passenger or the passenger’s property, to the extent permitted by law.

12. Pets, Service Animals and Mobility Needs

Pets must be disclosed in advance. A $10 pet fee may apply, and a suitable carrier may be required.

Legitimate service animals are handled in accordance with applicable law. Customers should disclose mobility devices or accessibility needs early so vehicle suitability can be reviewed.

Not every vehicle can accommodate every wheelchair, scooter or large mobility device. Submission of a request does not guarantee a wheelchair-accessible vehicle unless expressly confirmed.

13. Delays and Events Outside Our Control

Travel times and arrival times are estimates. We are not responsible for delay, missed flights, missed meetings or other loss caused by circumstances outside our reasonable control, including:

  • Traffic, road closures, collisions or construction.
  • Weather, flooding, snow, ice or natural events.
  • Airport congestion, security restrictions or curbside controls.
  • Border traffic, inspection or government action.
  • Flight cancellations, diversions or inaccurate flight information.
  • Mechanical failure despite reasonable maintenance.
  • Labor disruptions, emergencies, public-health events or utility failures.
  • Passenger delay, incorrect addresses or undeclared trip requirements.

Customers must choose pickup times that reasonably account for traffic, weather, border processing, check-in, baggage drop and security.

14. Lost, Forgotten or Damaged Property

Passengers are responsible for their luggage, documents, money, electronics and personal property. Check the vehicle before leaving.

Report lost property promptly with the booking ID and item description. We will make a reasonable effort to locate reported property but do not guarantee recovery.

Delivery, shipping, storage or return of found property may require reimbursement of reasonable costs. Unclaimed items may be disposed of after a reasonable period, subject to applicable law.

15. Third-Party Services and Links

The website may link to payment processors, maps, airports, airlines, hotels, government agencies, review platforms and other independent services. Their terms and privacy policies apply to their services.

We are not responsible for the availability, accuracy, security or conduct of independent third-party websites or services.

16. Disclaimer and Limitation of Liability

We will use reasonable efforts to provide confirmed transportation. Except for rights and obligations that cannot lawfully be excluded, the service and website are provided without guarantees concerning uninterrupted availability, exact travel time or results affected by events outside our reasonable control.

To the maximum extent permitted by law, BuffaloAirport.Taxi and its owners, personnel, contractors and service providers will not be liable for indirect, incidental, special, consequential, exemplary or punitive damages, including lost profits, missed flights, missed meetings, lost reservations or loss of enjoyment.

To the maximum extent permitted by law, aggregate liability arising from a particular reservation will not exceed the amount paid for that reservation, except where a different remedy is required by applicable law or where liability cannot lawfully be limited.

Nothing in these Terms excludes or limits liability for fraud, willful misconduct, gross negligence, personal injury caused by legally actionable negligence, or any other liability that cannot be excluded under applicable law.

17. Customer Responsibility

To the extent permitted by law, you are responsible for losses, charges, claims or expenses resulting from your material breach of these Terms, illegal conduct, damage to a vehicle, false booking information, prohibited property or failure to comply with government requirements.

18. Website Use and Intellectual Property

Website text, design, graphics, logos, booking interfaces and original content are owned by or licensed to BuffaloAirport.Taxi and may not be copied, republished, scraped, sold or commercially exploited without permission.

You may not misuse the website, attempt unauthorized access, introduce malicious code, submit false reservations, interfere with booking operations or use automated systems in a manner that burdens the site.

19. Governing Law and Disputes

These Terms are governed by the laws of the State of New York, without regard to conflict-of-law principles, except where another law must apply.

Before filing a claim, the parties should make a good-faith effort to resolve the matter through direct written communication.

Subject to applicable consumer-protection rights and jurisdictional requirements, legal proceedings relating to these Terms or a reservation may be brought in a court of competent jurisdiction in Erie County, New York.

20. General Provisions

Entire Agreement

These Terms, the Privacy Policy and the booking confirmation form the agreement concerning the reservation, unless a separate written agreement applies.

Severability

If a provision is found unenforceable, it will be limited or removed only to the extent necessary, and the remaining provisions will remain effective.

No Waiver

Failure to enforce a provision does not waive the right to enforce it later.

Assignment

You may not transfer a reservation or rights under these Terms without approval. We may assign rights and obligations in connection with a business transfer or service arrangement, subject to applicable law.

Updates

We may update these Terms. The version posted when a reservation is made generally applies to that reservation unless a required legal or safety change applies sooner.

21. Independent Service Disclosure

BuffaloAirport.Taxi is an independent transportation service. It is not owned by, operated by or officially affiliated with Buffalo Niagara International Airport, NFTA, any airline, hotel, CBP, CBSA or another government agency. Airport, hotel, city and agency names are used to describe routes and travel information.
